Monterey Peninsula College (MPC) is requesting proposals including pricing, terms, and availability of all items requested for redesign, development, and hosting of the Monterey Peninsula College website.

Q: The mympc.mpc.edu (intranet) is mentioned in the RFP. Is the redesign / development of this intranet site intended as part of the scope of work?
Q: Could you please provide some additional details on what specific technologies or sites need to integrate with the new main MPC site?
Q: Is the college open to moving the order of steps / phases of the project?
Q: Could you provide some additional, specific detail on what is meant by "some areas of the college may serve unique audiences, and their websites must reflect the individual personality of each of those areas"?

Q: To import the current site’s content into the new CMS, the most economical solution would be to receive that content exported from SharePoint in XML, including all pages and files (images, PDFs, etc.). Can the College provide the content in XML?
Q: How may CMS users will you have? (only those who will be updating content on the website? About how many users would the vendor need to provide CMS training for?
Q: For the Intranet, will this site require a design independent from the public site design, or will it need a very similar design?
Q: Staff Directory/Active Directory – It’s clear that the site will need to integrate with your AD for authentication. We do have some clients who store biographical/contact information in their AD as well. The RFP implies that the website will need to pull this additional information out of AD for display on the website. Is that the case, or will additional staff directory information also need to be uploaded into the CMS via other means?
Q: Integration – The RFP references processes required for integrating with other systems and optimizing processes for admissions and registration. Does the project include building admissions and registration components, or is it rather a requirement that the website provide easy access to these systems?
Q: What types of information resident in these other systems is expected to be visible on the website itself?
Q: Will the website need to automatically transfer any data into these other systems and, if so, does the college have staff expertise to work with a provided API to accomplish these types of operations?
Q: Integration with Canon eCopy is specifically called out. Is the website expected to act as a primary document repository, or is the website simply expected to provide an easy way for users to move documents from the repository into appropriate file folders on the website?

Is the college able to provide their own expertise or does the college have its own guidelines in place for meeting the guidelines for such things as providing meta data with photos and videos?

Level One: Display data from another system with no ability to alter that data.
Q: It sounds like you plan to replace “other campus systems” with Banner by Elucian. Please elaborate as it may not make sense to consider integrating with your current ERP.
Q; Regarding 3rd party integration… Please indicate if you want the bid to include redesign of moodle and webreg.
Q: Banner by Ellucian appears to be a program designed to run MPC. It certainly hooks into SharePoint. We do not yet know how to integrate with a WordPress website (or even if it’s a good idea to do so). Before we quote, tell us what type of interaction you want with Banner and why.

- We are interested a solution that will support our ability to post and share documents internally. We will consider proposals that incorporate an intranet solution, integrate with our existing Sharepoint intrantet, or provide a suitable alternative.
Q: Could you please provide some additional details on what specific technologies or sites need to integrate with the new main MPC site?
- We are interested in a solution that will integrate with Microsoft Active Directory for authentication.
Q: Is the college open to moving the order of steps / phases of the project?
- We are open to recommendations for project management and milestones that best fit the project.
Q: Could you provide some additional, specific detail on what is meant by "some areas of the college may serve unique audiences, and their websites must reflect the individual personality of each of those areas"?
- The Web site template(s) must be flexible enough to accommodate different content based on the needs of college departments/divisions.
Q: Is the expectation that the contractor would undertake the re-skinning of other websites maintained by the college as part of the overall contract?
- No, the vendor should provide graphic files that can be used in the skinning of other campus sites (i.e. banner for portal, learning management system).
Q: Could you please provide some additional details on what roles a new ERP system would fill and whether or not the skinning and integration of this technology should be considered within the scope of work for this project.
- No, the vendor should provide graphic files that can be used in the skinning of ERP pages (i.e. banner, core CSS).
Q: Does MPC have any initial thoughts on a rough total budget for this project?
- We do not have a predetermined budget for this project and will consider all proposals.
Q: Will there be a MPC resource available for the vendor to work with to write/edit site content (e.g. campus publications editor)? Do you have resources for professional photography? Do you have a campus publications/graphic designer who will be a part of this process? Do you have a campus style guide?
- We plan to assemble a team of individuals to assist with the writing/editing of site content. Our graphics department will provide a style guide and campus photography to use in the site redesign.
Q: What are the dates and timeframes for "Issuance of the Award" and "Approval of Contract."
- The technology committee plans to make a recommendation to campus governance in December with the goal of presenting for Board Approval in January.
Q: Is there an expectation of collaboration meetings occuring onsite, or can a portion be completed remotely (e.g. by teleconference).
- We anticipate that the project will involve both face-to-face and remote meetings.

- We are open to considering new options for document workflow.

- We would prefer to have the website hosted offsite.

- We are interested in migrating our current content, with an improved information infrastructure and the ability to add new content easily.

- Not vital - just a distinctive difference in color theme should be enough.

- We do not currently store biographical or contact information in our AD. Additional staff directory information will need to be uploaded into the CMS via other means.

- Yes, there are limited transfers of data, and there is staff that can assist.

- The priority is the public website. Open to proposals for the intranet.

- 508 compliance for the vendor is for web accessibility- the college is responsible for the meta data with photos and videos. Again, an easy way to upload content (including meta data as appropriate) is essential to the future of the website for MPC.

- We are working on a RFP for an ERP system. Banner is sued widely in California community Colleges and as such will be a strong contender.

- The integration with any new ERP will happen at an undetermined point in the future. Any experience with this type of integration will be a factor in our bid evaluation.
